Cancellation Policy

At The Physio Don, your appointment time is reserved specifically for you. Late cancellations and non-attendance prevent other patients from accessing care and impact the sustainability of our service.

Private Clients

  • A minimum of 24 hours' notice is required to cancel or reschedule an appointment.
  • If less than 24 hours' notice is provided, we may charge the full appointment fee.
  • If you do not attend your appointment without notice, the full appointment fee may be charged.
  • Notice must be provided during business hours. Messages left after hours are considered received on the next business day.

NDIS Participants

For NDIS-funded appointments, The Physio Don follows the current NDIS Pricing Arrangements and Price Limits.

Under NDIS guidelines, a short notice cancellation is defined as a cancellation made less than 2 clear business days before the scheduled appointment.

If an NDIS participant:

  • Cancels with less than 2 clear business days' notice, or
  • Does not attend the appointment (no show),

The Physio Don will claim the full fee in accordance with NDIS short notice cancellation rules, provided the appointment time cannot be filled.

This applies only where the service agreement includes short notice cancellation provisions.

DVA, EPC, WorkCover, CTP and Other Funded Appointments

For DVA, EPC/Medicare, WorkCover, CTP and other compensable schemes:

  • Late cancellations may be billed in full where permitted under funding body guidelines.
  • Non-attendance may result in private billing if the funding body does not cover missed appointments.

Repeat Late Cancellations or Non-Attendance

If a pattern of late cancellations or missed appointments occurs, The Physio Don reserves the right to:

  • Require prepayment for future appointments, and/or
  • Decline further bookings, and/or
  • Discontinue services.

Illness or Emergency

We understand that genuine emergencies and sudden illness occur. Please contact us as soon as possible so the situation can be assessed appropriately.
